This policy explains how ICTx handles personal information collected through our business operations and our website at https://ictx.com.au. It applies to clients, prospective clients, website visitors, and anyone else who shares information with us.

“Personal information” has the meaning given to it in the Privacy Act — broadly, any information or opinion that identifies you or could reasonably be used to identify you. In the course of running our business, the kinds of information we typically deal with include:
Some categories — health information, racial or ethnic origin, political or religious views, union membership, criminal history, and similar — are treated as “sensitive information” under the Privacy Act and carry stricter handling rules. ICTx does not generally seek out sensitive information. If we ever need to handle it, we will only do so with your consent, where the law requires it, or where it is directly tied to the purpose you originally gave it to us for.
Most of the time, we collect information directly from you — when you contact us, request a quote, sign an engagement letter, sit down for a meeting, exchange emails, or use a service we provide. Some information is captured automatically through our website (see the cookies section below). Occasionally, information reaches us via a third party, such as a referrer, a business partner, or a publicly available source. When that happens, we take reasonable steps to let you know.
We try to be transparent about why we are asking for any particular piece of information at the time we collect it.

If we want to use your information for a purpose that goes beyond what you would reasonably expect from the above, we will ask first — unless the law specifically allows or requires the use without consent.
You can opt out of marketing communications at any time. Every marketing email we send includes an unsubscribe link, and you can also email us directly to be removed from our list.
When you fill in a form on our website, the information you submit comes through to us by email and is used to respond to your enquiry. We do not pass form submissions on to unrelated third parties.
Cookies are small text files that websites place on your device to remember things — preferences, session state, or analytics identifiers. Our site uses them for routine functionality and to understand which pages visitors are finding useful. You can block, delete, or limit cookies through your browser’s settings; doing so may change how parts of the site behave.
We use website analytics to see traffic patterns in aggregate — which pages are visited, how visitors arrive, what devices they use. This is statistical information rather than data tied to identified individuals, and we use it to improve the site rather than to profile anyone in particular.
Some pages on our site embed material hosted elsewhere — for example, videos, maps, or social media posts. When you interact with that content, the third party hosting it can collect data about your visit in the same way it would if you went to their site directly. Their privacy practices apply to that interaction, not ours.
Inside ICTx, access to personal information is limited to people who need it to do their job. Outside ICTx, your information may be shared in a small number of situations:

Some of the cloud services we rely on store data outside Australia. Where that is the case, we take reasonable steps to ensure those providers meet privacy obligations comparable to those that apply in Australia.
We apply standard industry practices to protect the information we hold — access controls, encryption where appropriate, network and endpoint security, staff awareness, and regular reviews of our systems. No method of electronic storage is completely impervious, but the goal is to make unauthorised access, loss, misuse, or alteration as unlikely as we reasonably can.
When we no longer need personal information for the purpose it was collected for, we either delete it or de-identify it. Some records — client files, financial records, contracts — are kept for at least seven years to meet legal and regulatory requirements, even after a relationship ends.
You are entitled to ask what personal information ICTx holds about you, and to request that we correct anything that is wrong or out of date. Requests should be made in writing to info@ictx.com.au. We may ask you to verify your identity before releasing information — a sensible precaution rather than an obstacle.
There is no fee for making a request, although for substantial requests we may pass on the actual cost of compiling or copying the information.
If something we hold about you is inaccurate, please let us know so we can fix it. Keeping our records current works in both directions.
You can ask us to delete personal information we hold about you. We will do so unless we are required to retain it — for example, where tax law, contractual obligations, or active legal matters mean the information has to stay on file for a defined period.
We may update this policy occasionally to reflect changes in our practices or in the law. The current version will always be available on our website, with the effective date at the top.
